ROLE PURPOSE

To provide a comprehensive generalist HR advisory & administrative support service to the business; the role holder will be the first line of contact for employees’ queries and requests and requires a pro-active, flexible approach. The role holder will be capable of juggling priorities and a busy workload and will escalate issues to the HR Director or Executive Team as appropriate.

This position reports to the HR Director and manages the Office & HR Support role.

THE ROLE

HR Advisory & Administrative support, to include:

  • Contribute to the coordination of the smooth running of the HR department on a day to day basis
  • Manage and coach the Office & HR support person.
  • Manage the maintenance & accuracy of hard copy HR files and electronic records
  • Updating & development of the HR IT System (PeopleHR) and data reporting as required
  • Reviewing and up-dating BRC policies and procedures to ensure they remain compliant with employment legislation and best practice and are available to employees through the BRC Intranet
  • Management of internal and external training programmes, along with TNA, coordinating training requests and training evaluation
  • Managing recruitment processes and campaigns as required, usually from start to finish.This includes managing the administration life-cycle of the recruitment & selection processes – meeting with hiring managers, editing role descriptions, dealing with agencies/placing ads/screening CVs/liaison with candidates/proactive interview preparation/ arranging interviews/participating in interviews/ offer and rejection letters/taking up references and negotiating agency rates.
  • Preparation of offer letters and employment contracts
  • Responsible for starters/leavers processes, including induction schedules & process and exit interviews
  • Maintain accurate payroll data for monthly input by HLM (outsourced payroll provider) including details of joiners, leavers, and other employee changes impacting on pay
  • Proactively take responsibility for first line of checks for payroll, highlighting any discrepancies to the HR Director
  • Monitoring holiday and sickness, keeping accurate records, and reporting as necessary. Supporting & advising managers on absence cases as necessary.
  • Collate & analyse year-end performance & development reviews including performance level assessments.
  • Administration of annual pay review & bonus payments and provision of letters via mail-merge
  • Up-dating remuneration and benefit data for each employee on PeopleHR following the annual salary & benefits review process
  • Administration of all employee benefits including pension, private medical insurance, life assurance, childcare vouchers, gym membership and cycle to work scheme
  • Supplier management – to be the first point of contact for Benefit providers, training companies, and other suppliers.
  • Play a pro-active part in staff related ad hoc projects
  • Provide HR Advisory support in Employee Relations cases
  • Coordinate cover for Office Facilities in the absence of the IT & Facilities Coordinator

 

SKILLS & KNOWLEDGE

  • Able to demonstrate excellent HR advisory, organisation & HR administration skills and solid HR generalist experience
  • Ideally have some experience of supervising others or be keen to learn
  • A confident communicator, able to tailor communication to suit the audience in terms of style and format
  • A trusted and pro-active team player, supporting team colleagues in driving a culture of continuous improvement.
  • Use initiative to plan ahead and pre-empt situations so that we are prepared and able to act with maximum efficiency and professionalism

  • A proficient and flexible organiser, able to demonstrate excellent administration and time management skills
  • Proficient in using a range of software tools – excellent knowledge and experience of using Word, Excel and Outlook essential.
  • Ideally have previous experience of HR IT systems (we use PeopleHR)
  • CIPD Level 5 qualified

  • Competitive base salary plus benefits package
  • This is a permanent full time opportunity (35 hours per week), based at our head office in London Bridge.
